Exhibitors at the Annual Meeting: More than just stands and brochures

af | April 15, 2026

When professional associations gather for their annual meeting, it is of course primarily about professional updates, networking and community. But for many associations, the exhibition part is an increasingly important element of the meeting – not as an aside, but as an integral part of the professional experience. The question is: Why? And how do you get started?

Exhibitions create added value for all parties

Exhibitions at professional meetings and congresses serve several purposes at once. For participants, it is an opportunity to become acquainted with new products, solutions and services that are relevant to their daily work – presented by expert representatives from the industry. This is knowledge that one rarely finds time to seek out in everyday life.

For the organizers – that is, the professional association – an exhibition contributes to strengthening the meeting as a whole. On the one hand, the overall economy is boosted, as the exhibitors' participation fee typically covers part of the meeting costs. On the other hand, a lively and active atmosphere is created during the breaks, which supports the networking and collegial togetherness that many people value highly at these types of events.

For exhibitors, it is a unique opportunity to meet relevant professionals face to face – not in a sales call, but in a professional setting where the dialogue is natural and equal.

Who is ConEx?

ConEx is a specialized exhibition administrator with many years of experience within the healthcare and hospital sector in Denmark. Behind ConEx is Jan Nordkvist and colleagues Rikke Kildetoft and Karen Kirkeby Tscherning, all of whom have in-depth knowledge of what it takes to get a
exhibition to succeed – both for the organizers and for the exhibitors.

ConEx has a network of approximately 400 companies interested in exhibition activities within the healthcare field. When ConEx enters into a partnership with a professional association to handle the exhibition part, they take care of all the practicalities: invitations to relevant companies, agreements and
contracts, registration, invoicing and organization of stand space and logistics on the day.
In other words, the company is free from all the administration that can otherwise make it difficult to prioritize the exhibition part.

ConEx collaborates with a wide range of professional societies in the Danish healthcare system and has experience from congresses and annual meetings within urology, gastroenterology, transplantation and nursing organizations affiliated with the Danish Nurses' Council.

Consider exhibiting at your next annual meeting

Danish Nursing Society has an active and committed membership and a professional area that the industry is very interested in reaching. This makes the company's annual meeting an obvious setting for an exhibition - for the benefit of the participants, the company's finances and the companies that want to contribute professionally.

If you would like to hear more about the possibilities, ConEx is ready for a non-binding conversation about how an exhibition can be organized to suit your meeting and your members.
